Policies & Procedures

At Simply Well Urgent Care, we are committed to providing timely, reliable, and high-quality urgent care services. To ensure fairness, smooth operations, and availability for all patients, we have established the following policies and procedures:

1. Appointment Booking & Deposits

– Advance Bookings (more than 24 hours in advance):

  • A 50% deposit is required to secure the appointment.
  • The remaining balance is due at the time of the appointment.

– Same-Day Bookings (within 24 hours):

  • The full appointment fee is required at the time of booking.

2. Cancellations & Rescheduling

– Cancellations (more than 24 hours in advance):

  • Patients may cancel with no penalty and deposits will be refunded or credited toward a future visit.

– Cancellations (within 24 hours):

  • Deposits or any prepaid amounts are non-refundable.

– Same-Day Rescheduling:

  • Patients may reschedule once, provided it is at least 2 hours before the original appointment time.
  • Rescheduling within 2 hours of the appointment is treated as a missed appointment.

– Missed Appointments (No-Shows):

  • Patients who do not attend their scheduled appointment forfeit their deposit or full payment.

3. Payment Policy

  • Payment can be made by credit card, debit card, or other approved electronic methods.
  • Payment must be completed before services are rendered.
  • Outstanding balances must be cleared prior to booking future appointments.

4. Late Arrival Policy

  • Patients arriving more than 5 minutes late may be asked to reschedule.
  • If rescheduling is not possible, the visit will be treated as a missed appointment.

5. Refund Policy

  • Refunds are issued only in cases of clinic cancellation or errors made by the clinic.

  • Deposits and same-day payments are otherwise non-refundable, except as noted above.

6. Provider Availability

  • While we strive to honor all scheduled appointments, unforeseen circumstances (such as provider illness or emergencies) may require the clinic to reschedule.
  • In such cases, patients will be offered either a full refund or the option to reschedule at no additional cost.

7. Patient Responsibilities

  • Provide accurate contact and medical information at booking.
  • Arrive on time for scheduled appointments.
  • Notify the clinic promptly of cancellations or scheduling changes.

8. Clinic Responsibilities

  • Deliver high-quality, timely, and professional urgent care services.
  • Maintain patient confidentiality and comply with HIPAA and other applicable healthcare regulations.
  • Provide clear communication regarding fees, policies, and scheduling.

9. Emergency Situations

Our clinic is not a substitute for emergency services.

  • If you are experiencing a life-threatening emergency, call 911 or go to the nearest emergency department immediately.
